Position Overview

The Accounting and Office Coordinator manages the accounting functions and work order system for the Building and Grounds Department.  Additionally, the position provides administrative support to the Director and Assistant Director.

Job Responsibilities

  • Serves as accountant for the Building and Grounds Department:
    • Prepares annual budgets for the department including estimates of income and expenditures by shop and for the department as a whole:
      • Consults with the Director, Assistant Director and shop supervisors in the development of individual budgets.
      • Considers both the labor and non-labor aspects of the budget:
        • Utilities
        • Office administration
        • Contracted services
        • Shop specific
        • Capital (including  summer projects)
    • Prepares Requisitions and Purchase Orders in the Bishop Buy system.
    • Coordinates and monitors balances on blanket Purchase Orders.
    • Reviews all Purchasing Card transactions for the department, ensuring that proper documentation has been provided and that the correct account number is used.
    • Monitors expenditures and income throughout the year noting variances from budget alerting the Director to any deviations from budget:
      • Prepares expenditure reports on a monthly basis.
      • Develops projections based on expenditures to date.
      • Ensures that expenditures are charged to the correct account numbers.
    • Prepares reports for capital projects expenditures including the annual report of Construction Commitments (for the Controller).
    • Maintains an ongoing report of Utility Usage, GSF costs, square footage, building information and other related data.
  • Serves as the Work Order Coordinator for the Building and Grounds Departments.
    • Assures timely and efficient entry and assignment of all work orders.
    • Maintains Work Order Database, currently in TMA software:
      • Enters all work orders including Building and Grounds, Housekeeping and outside service contractors.
      • Updates the system as work orders are assigned and completed.
      • Enter all Daily Time Records information into the database to ensure that labor hours are assigned to work orders.
  • Serves as administrative assistant to the Director and, as needed, the Assistant Director:
    • Answer office phones, take messages or redirect calls to the appropriate person.
    • Maintain the Director’s calendar by scheduling meetings and monitoring schedule
    • Prepare reports and presentations as requested by the Director or Assistant Director.
    • Maintain a catalogue of campus blueprints, surveys, and other architectural and engineering documents.


  • Associates degree in business or accounting or an equivalent combination of education and experience.
  • Two or more years’ experience working in an accounting environment.
  • Experience with Microsoft Word and Excel is required.  Experience with work order software, Microsoft Dynamics accounting software, and Jaeger purchasing software or similar software packages is preferred.
  • Ability to work in a fast paced office and manage multiple priorities.
  • Ability to interact with different constituencies including students, staff, faculty, senior administrators, outside service providers and the full building and grounds team is essential.
  • Strong preference for someone willing to work a 7:00 a.m. to 3:30 p.m. or 7:30 a.m. to 4:30 p.m. shift.
